The Institute for Educational Initiatives (IEI) at the University of Notre Dame is seeking a CRM & Marketing Automation Specialist to lead the unification and activation of our communications systems—consolidating contacts, campaigns, and platforms into a single, powerful Slate CRM instance.

In this high-impact temporary role, you’ll work closely with the Slate CRM Sr. Technical Analyst and Data Manager and the IEI’s Communications Team to streamline data, build automated journeys, and ensure campaigns are technically sound and visually consistent. You’ll collaborate with program teams across IEI to design audience strategies, improve data integrity, and deliver compelling, measurable campaigns that connect with educators, students, alumni, donors, and partners.

Key Responsibilities

Campaign Strategy & Engagement

  • Build and manage multistep email/SMS journeys and one-off campaigns using Slate
  • Develop branded email templates, ensuring accessibility and mobile responsiveness (HTML/CSS)
  • Write and proofread campaign content for clarity, tone, and accuracy
  • Consolidate existing Mailchimp campaigns and listserv communications into Slate
  • Implement A/B testing, personalization, and segmentation to drive engagement
  • Collaborate with program teams to define audience needs and craft targeted, mission-aligned outreach

Database Consolidation & Management

  • Migrate and unify existing contact lists (Mailchimp, Google Sheets, listservs) into a single database in Slate
  • Design and maintain CRM data structures (fields, tags, queries, filters) for segmentation and personalization
  • Clean, organize, and deduplicate records to ensure accuracy and long-term usability
  • Support data governance and documentation to sustain integrity beyond the project timeline

Reporting & Optimization

  • Create and maintain dashboards to track key metrics and campaign performance
  • Analyze data and recommend optimizations to improve open/click rates and conversions
  • Document workflows, automations, and processes; train team members as needed

Project Management & Collaboration

  • Lead and participate in projects with clear workflows, timelines, and measurable deliverables
  • Coordinate across communications, data, and program teams to meet deadlines
  • Prioritize multiple projects simultaneously while maintaining quality and attention to detail
Qualifications

  • Bachelor’s degree in marketing, communications, graphic design, journalism, data strategy, or a related field
  • 3+ years’ experience with Slate CRM or comparable CRM/email marketing platforms (e.g., Salesforce Marketing Cloud, HubSpot)
  • Demonstrated success in database migration and contact consolidation
  • Proficiency in HTML and CSS for building responsive, well-formatted campaigns
  • Understanding of CRM data structures and architecture for audience development
  • Strong proofreading and copyediting skills
  • Familiarity with multichannel outreach (SMS, web forms, event workflows)
  • Advanced Microsoft Excel and/or Google Sheets skills (data cleaning, formulas, lookups)
  • Excellent collaboration, communication, and project management skills—ability to manage multiple projects with distinct deliverables and deadlines
  • Detail-oriented, resourceful, and solution-focused mindset
  • Higher education or nonprofit experience preferred
