Role and Responsibilities Under the direct supervision of the Assistant Dean of Student Services, the Student Services Program Coordinator will provide a broad range of administrative, customer service, and event planning support to the Office of Student Services. The successful candidate will have excellent interpersonal, customer service, and communication skills; proficiency in designing visual communications; experience in planning and executing events; and a desire to learn. The successful candidate should be comfortable working independently and as part of a team in a fast-paced and bustling environment. Serve as the first point of contact for visitors entering the Office of Student Services. This includes being physically in the office Monday – Friday during normal business hours to greet and answer questions for visitors, students, staff, and faculty via telephone, email, and in-person. Lead for all visual communications and branding for the department, including creation of flyers and brochures, and maintaining/updating Internet and Intranet webpages and the Student Services bulletin board. Lead for curating, creating, and publishing The Weekly, a weekly internal digital publication with the College’s announcements, events, and information. Provide administrative assistance and support to Student Services team members, including preparing presentations, reports, and online surveys. Maintain organization of the Student Services office, including facilities requests; ensuring equipment works; and ordering office supplies and event materials as needed. Assist with planning and execution of student events (e.g., Orientation, training conferences, Student Services events); responsibilities include ordering food, setup, supplies, on-site administrative support, and cleanup. Maintain and organize the calendar for the office using Outlook and other scheduling software for all Student Services team members as necessary. Assist with budgeting including invoices and requisitions. Manage room reservations for the Office of Student Services and student organizations. Assign student lockers and produce the 1L Student Directory; assist with creation of other Student Services guides and printed materials. Collect, input, and track survey, attendance, and other data in Microsoft Excel. Be knowledgeable about College policies and procedures; maintain confidentiality and security of student records and comply with laws including FERPA and UC Law SF privacy rules. Perform miscellaneous duties to support the smooth functioning of the office and its programs as assigned. Qualifications Education and Experience Two-year associate's degree or equivalent work experience. Bachelor’s degree preferred. Minimum two years of administrative work experience, preferably in a legal or academic environment. Experience providing customer service; planning and executing events; using technology to update webpages; and creating visually appealing marketing materials. Knowledge, Skills & Abilities Sensitivity to cultural diversity and ability to communicate effectively with people of all backgrounds. Excellent written communications skills, including drafting a high volume of emails with clarity, professionalism, and warmth. Excellent verbal communication skills, with the ability to handle challenging interactions requiring diplomacy and support. Ability to work independently and with resourcefulness, while knowing when to consult a supervisor. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with communications software (e.g., iContact, Constant Contact) and Adobe Acrobat. Ability to learn quickly, work efficiently, and meet multiple deadlines. Proactive, creative, and solutions-oriented mindset. Ability to work in the office Monday – Friday during normal business hours. Ability to perform physical activities including sitting at a desk for long periods, reading print/digital material, lifting at least 10 lbs, and standing/moving as needed.
