Description
PRIMARY PURPOSE:
Provides support services for students within the admissions/registration department specializing in oneor more of the following areas: admissions/registration, transcript services, and/or forms and recordsmanagement.
REPORTS TO:
Department Director, Assistant Registrar, or Advisor
Job Duties
Serve as a frontline representative of the institution by relaying information related to TVCC policies, procedures, and state and federal regulations concerning admissions/registration.
Perform clerical tasks such as maintaining records, coding, data entry, enrollment verification, transcript requests, and issuing non-enrollment letters.
Process applications for enrollment by accepting, reviewing for completeness, inputting data, and screening students for eligibility. Maintain communications management for applicants and prospective students.
Oversee student records quality control by reviewing and correcting student record errors (e.g., Social Security numbers, grades), merging duplicate records, interpreting data according to national admission guidelines, and conducting quality assurance checks of scanned documents.
Research and correct transcript discrepancies and assist students with transcript requests, enrollment verifications, and handling holds on student records as needed.
Respond to internal and external information requests by researching, analyzing, and summarizing data from student records.
Manage department records related to transcript and verification requests and provide general office support (e.g., maintaining files, ordering supplies, managing waitlists).
Coordinate admissions and registration for special programs and populations.
Process student correspondence regarding grades, graduation status, and other matters. Assist with reverse transfer credit evaluations and collaborate with the completion advisor on graduation eligibility.
Handle imaging of records, including scanning applications, transcripts, test scores, and other documents for consistency.
Assist with certificate printing and mailing for students completing vocational trades/AAS degrees, and help process and distribute mail and correspondence between offices.
Process and interpret test scores, shot records, grade changes, and post articulated credit as needed.
Participate in college recruiting efforts, graduation ceremonies, and Cardinal Pride Orientation.
Collaborate with the Registrar on process improvement strategies and provide backup support to other Student Services areas as needed.
Other duties as assigned.
Qualifications
EDUCATION REQUIRED:
High school diploma or GED
PREFERRED:
Associate degree
EXPERIENCE REQUIRED:
Two (2) years recent work experience
