About the Role:
The Expo Projects Coordinator will be a key player in the successful execution of multi-year Expo projects, ensuring that all aspects are well-organized, efficiently managed, and effectively communicated. This role involves maintaining records, scheduling, preparing presentations, and providing support for special projects. The ideal candidate will be a proactive and detail-oriented professional with excellent organizational and communication skills, capable of managing multiple tasks and interacting with various stakeholders.
Key Responsibilities:
Records Management: Maintain comprehensive records for multi-year Expo projects to ensure information is organized, accessible, and up-to-date.
Administrative Support: Schedule meetings, take detailed meeting notes, track clearances, maintain contact databases, and update project documents using project management tools and techniques.
Communication & Outreach: Assist in preparing presentations and social media outreach, including familiarity with blogging and platforms like Twitter.
Project Updates & Special Events: Prepare weekly project updates, assist in planning special events, and conduct special projects under the guidance of Expo Unit staff.
Liaison Duties : Serve as the Expo Unit liaison to the Global Partnerships Office, assisting with the vetting of potential donors and managing the gift acceptance memo process.
Backup Support: Provide administrative support as a backup to the administrative assistant when needed.
Qualifications:
Education: Bachelor’s Degree required.
Experience & Skills:
Familiarity with U.S. public diplomacy policy and goals.
Proficiency in project management tools and techniques.
Experience with SharePoint, blogging, and social media platforms (e.g., Twitter).
Ability to interact effectively with individuals at various levels, providing advice, information, and assistance.
Strong organizational skills with the ability to plan, prioritize, and manage multiple assignments with tight deadlines.
Excellent written and oral communication skills, with the ability to draft a variety of documents and establish and maintain professional relationships.
Proven ability to manage travel, meeting schedules, and records efficiently.
Ability to work cooperatively in a team environment and handle a high volume of work in a results-driven office.
