Job Summary:
The Future Student Coordinator must be proficient with processes related to Admissions, Financial Aid, and Assessment. Must have in-depth knowledge regarding various areas of the college. Coordinator should have great customer service skills, a positive attitude, and the ability to multitask. Students are considered in a future status once an application for enrollment has been completed. The primary function of the Future Student Coordinator is to assist future students throughout the enrollment process.
The Future Student Coordinator is responsible for but not limited to the following: Provide assistance to future students covering a wide range of detailed information regarding admissions, financial aid, and assessment.
Field questions about and assist in completing the FAFSA, FAFSA verification process, and loan program eligibility and requirements (Ex: entrance counseling, master promissory note, VA letter of eligibility).
Responsible for keeping up with future students; this can include weekly check- ins, scheduling, and follow-ups to Financial Aid appointments or tours, text messaging, email, or appointment reminders, and collection of missing information.
Handle incoming calls for the Admissions and Financial Aid teams.
Ordering official transcripts to ensure proof of high school graduation.
Ordering of college transcripts when applicable.
Prepare information for campus tours (folders, information packets, etc.).
Have thorough note-taking skills - details are paramount in this position. In order to assist the student with their decision, a coordinator must not only be able to actively listen to their students, but ask questions formulated to get specific answers, and keep meticulous notes so that anyone who reads them can know what is going on with that student.
Assist Admissions department in achieving enrollment and outreach goals on an ongoing basis while acting professionally, ethically, and with integrity in all activities in the course of employment with Caris College.
Proctor assessments (Accuplacer, Wonderlic, & TEAS) for future students.
Answer questions and assist students with the processes related to reviewing assessment test scores.
Make appropriate referrals to resources such as study materials with regards to assessment.
Maintains a thorough knowledge of and complies with all applicable campus, state, and federal regulations and policies. Conduct all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).
Must be able to work well with people in different departments and communicate effectively with them. Must be able to report to the Campus Director with student updates, student issues, or financial aid statuses.
Have problem-solving skills - our students can be difficult at times and come from challenging backgrounds. Coordinators should be able to help students work through issues to see the bigger picture, and ethically make the best choice.
Have flexibility; there may be times that this position will cover the front desk
Escalate complex issues to the appropriate departments.
Performs other duties as assigned.
Requirements of the position include: High school diploma or GED (Associate degree preferred)
Three years customer service/office experience preferred.
Excellent written, verbal, and interpersonal skills required.
Basic knowledge of financial aid programs and procedures.
Proficient knowledge of academic programs offered at Caris.
Proficient knowledge of all campus, state and federal regulations and policies applicable to the position.
Ability to maintain a flexible work schedule, including evenings and weekends.
Ability to function efficiently and utilize good time management skills in a fast-paced and demanding work environment.
Proficient knowledge of Microsoft Office, and G Suite products.
Ability to sit for extended periods of time.
Ability to hear and speak well enough to communicate with students, visitors, faculty, and staff both face to face and via the telephone.
Ability to conduct extensive written communication via text and email.
