The Administrative Assistant II for the Office of Student Leadership & Engagement performs routine clerical and administrative functions for a busy, high-traffic department that serves a diverse community of students and educators. This position is responsible for supporting the programmatic and daily operations for student activities, student clubs and organizations, orientation, and leadership programs.
Responsibilities:
Office Administration & Communication:
Administer general operations for the Student Activities office, including responding to electronic, telephone, and walk-in inquiries.
Explain services and guide students on basic functions like starting a club, requesting a budget, or running for student government.
Direct students, staff, and faculty to SA and other campus resources.
Maintain all online and print calendars for campus-wide engagement initiatives.
Prepare and send letters, emails, and communications as needed.
Maintain bulletin boards and digital signage according to procedure.
Maintain the SA office webpages and social media, ensuring all content stays up to date with College web accessibility requirements.
Work with the Director as needed for posting policy updates, office closings, etc.
Inventory office supplies.
Student Club & Program Support:
Support all Student Activities initiatives, programs, and services.
Provide logistical support and guidance for club leaders when SA Staff are unavailable.
Assist with rewriting and updating the SA club manual, which includes policies and procedures for running clubs and streamlining processes for student clubs and organizations.
Assist with club leader training where appropriate.
Assist with form creation and submissions and review the Club Program system in conjunction with club events.
Work with SA staff to determine and collect documents and information from student leaders and club advisors in compliance with program requirements.
Provide logistical support for all programs and events, including the coordination of meeting details, vendor contracts, catering, transportation, work orders, and space requests.
Assist with the day-of execution of all events, including those for Phi Theta Kappa (PTK).
Assist with recruitment, membership tracking, and general inquiries for NSLS and PTK honor societies.
Assessment & Data Management :
Support Student Activities in assessment and tracking efforts.
Assist with event tracking and attendance of student club meetings and events/programs, and non-credit offerings.
Pull data from campus sources for assessment.
Assist with the evaluation of Orientation-type events and all SA office events.
Marketing & Outreach:
Assist with marketing of all events and outreach efforts, including but not limited to creating graphics and posting on social media and digital signage.
Student Employee Supervision:
Initiate Work-study requests to Financial Aid and student employee job postings to the Handshake Database.
Assist the Director in recruiting student employees.
Provide appropriate training to work-study students and student employees, including the supervision of daily tasks and time reporting.
Other Duties:
Contribute to the planning and implementation of activities as needed.
Other duties as assigned.
Requirements:
Three to four years of experience with general office support required.
Must have knowledge of administrative and clerical procedures and systems such as Microsoft Word, Excel, Publisher, managing files and records, designing forms (Canva), and other office procedures and terminology.
Must have excellent written and oral communication skills and value the need for accuracy.
Must have good planning and organizational skills, be able to work independently, take directions, and pay attention to detail.
Must be able to work in an environment juggling multiple tasks, conflicting priorities, and supporting multiple individuals.
Must be able to manage demanding individuals and de-escalate situations while maintaining professionalism.
Must be able to meet and greet students, staff and visitors in a welcoming manner.
Must possess a valid and unrestricted state driver's license.
Preferred Requirements:
Associate degree preferred or a combination of education and experience working in an administrative support. environment.
Additional Information:
Salary: Bi-weekly: $2,312.28 Annual: $60,119.28 Grade 17, AFSCME Full-Time Benefited position.
