SUMMARY OF FUNCTIONS:
The primary responsibility of the Student Records Support Technician is to organize and ensure the accuracy of the Student Records System. This position assists in archiving, indexing, maintaining and retrieving information related to student enrollment.

REQUIRED: High School Diploma or equivalent
Five (5) years managing the organization, content and release of confidential records
Two (2) years of customer service experience
Employee must complete a fingerprint-based criminal background check and must be cleared by the Office of Human Resources
Must be able to communicate effectively in English, both orally and in writing, using proper grammar and vocabulary
PREFERRED: College Degree from accredited college or university
Experience creating or modifying computer spreadsheets
Experience using word processing software and electronic mail
Successful experience leading a customer service team
Successful experience improving or adapting a tracking or inventory system
Previous experience in public sector records management, e.g. a registrar's office setting
Previous experience with Infinite Campus
Spanish speaking skills
SKILLS AND KNOWLEDGE: Knowledge of Windows-based computers, computer spreadsheets, electronic mail, and other computer-based business applications. Strongly prefer familiarity with Infinite Campus.
Knowledge of federal and state laws and district policies regarding student records, including their retention and release.
Ability to work under high pressure with a multitude of on-going tasks and last-minute deadlines and changes with minimal errors Knowledge of standard office practices and procedures
Ability to prioritize, plan, organize, and work effectively, using independent judgment to complete assignments and meet timelines
Ability to relate well with District staff and the public and to understand their requests and needs and to respond to such requests in a professional and timely manner

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

Actual duties, responsibilities, frequency, and percentages may vary depending upon building assignments and other factors. Document, prepare and fulfill requests for student records from schools, school districts, legal firms, courts, social services and health agencies, prospective employers, parents, former students, etc., in accordance with strict adherence to confidentiality requirements and within established timeframes.
Coordinate with district school secretaries, Exceptional Student Services and other district and department staff as needed to complete records requests.
Manage and monitor the internal and external requests for student records.
Maintain and adapt systems used to track record requests.
Analyze and report summary data for record requests throughout the year as requested.
Prioritize, coordinate and monitor the efforts of Student Records File Assistant and other department and district staff in fulfilling district obligations related to student records.
Train, guide and assist staff in sound procedures and issue resolution.
Monitor the completeness, accuracy and timeliness of record request responses.
Monitor the availability and readability of digitally archived student records.
Determine the content and organization of student file documents.
Ensure necessary documents are present and all others are removed from these files before they are digitized and archived. Document these requirements and train school secretaries on every relevant aspect of student file management and composition.
Prepare student records in response to subpoenas duces tecum after removing or redacting any information not specifically requested. Archive copies of the request and response, prepare and send timely notification letters to parents/students informing them of their right to request that the court block the records release and submit the responsive records by the date required.
Lead and coordinate the purging, completion and organization of files of twenty-one-year-old former students for archive, including adding state assessment results and any other missing data.
Coordinate with coworkers and school secretaries to execute the annual end-of-year effort to (1) collect the cumulative files of departing students from each school, (2) verify and clean those files, (3) deliver them to their next district school or to archives, and (4) track the status and location of each of the 2,000+ student files.
Develop and maintain strong knowledge of applicable federal and state laws and D60 policies related to student records and their release and serve as a resource to district and school staff in this area.
Supplement and routinely serve as a backup to the Student Records and Registration secretary, by handling phone calls and walk-ins, processing online registrations and applications, etc.
Serve families as the home-school support contact.
Maintain, update and provide guidance and necessary forms to parents interested in or already delivering home school education to their children.
Receive completed Notice of Intent and Curriculum forms, create enrollments and households for home school students in our student system, upload these documents in the student system and send a written confirmation to these parents. The data and documentation is necessary for state reporting and the ongoing support of these families.
Work with the USDE Impact Aid office, the Pueblo Housing Authority and the Fort Carson DPW Housing Division to analyze and validate district student eligibility data in order to prepare and submit the district's Impact Aid Section 7003 grant application annually.
Organize, update and supplement resources and guides related to student data and records for school secretaries and manage the internal resource site
Create and deliver group and individual training to district and school staff on tools, processes and requirements related to student records.
Identify and implement process changes to streamline efforts and improve service quality and response times.
Support and participate in other department efforts as needed
