Position Overview: Cardinal O’Hara High School is seeking a mature and upbeat professional who will support our administration, staff, faculty, students, and families. The highly ethical and experienced team-player should possess a strong sense of integrity and desire to support all of the efforts of the Student Services Office.
Reporting directly to the Assistant Principal for Student Services, this person will be responsible for providing high-end customer service to the entire school community and is the primary administrative support person to the Assistant Principal for Student Services. This is a full-time, 12-month position.
Responsibilities
Maintains accurate attendance records of the entire student body on a daily basis which includes the overall Daily attendance and Period attendance throughout the day.
Prepare correspondence to parents regarding attendance.
Follow up unexplained absences directly with parents and or guardians on a daily basis.
Daily input of attendance data in PowerSchool
Responsible for maintaining and checking any attendance emails or phone calls and inputting information into PowerSchool.
Responsible for maintaining student attendance records in PowerSchool
Prepares and distributes the daily attendance reports to administrators, faculty, and staff daily.
Check the attendance from faculty to get an accurate account of attendance.
Is responsible for all early dismissals and late arrivals which includes preparing the attendance slips for each and entering the data in PowerSchool.
Compiling and maintaining accurate attendance records for the end of year reports for the Archdiocese.
Safeguard the confidentiality of school administration by exercising discretion in communicating information to faculty, students, staff and the various publics served by the school and in handling administrative records, file, and similar confidential items.
Provide administrative support at school functions under the purview of the Principal/APAA/APSS that occur outside of normal school hours such as Convocation and Graduation.
Contribute to the overall success of the school by performing other essential duties and responsibilities as assigned.
Qualifications
At least five years of increasingly responsible secretarial or administrative experience is required, which must include an extensive knowledge of general office procedures and practices.
Excellent oral, written, and communication skills.
The ability to multi-task in a high-pressure environment while maintaining superb levels of customer service is essential.
Computer literacy and proficiency with standard office equipment.
Excellent organizational skills.
The ability to work independently, use initiative and make substantive decisions quickly.
At minimum a high school diploma or equivalent.
