Lake Forest School District 67 is seeking a full-time 12-month, 8 hour/day Student Data/Testing Coordinator.
Description: The Student Data/Testing Coordinator involves a variety of responsibilities under the broad categories of special education, student assessment, and state compliance. The coordinator works collaboratively with technology administrators to ensure that timely and accurate student assessments are implemented throughout the school year. As administrative assistant to the special education department, the coordinator complies and updates special education records, creates and submits compliance data, including grants, to the state, and maintains student records. Similar support is given to personnel who work with students who are identified as having Limited English Proficiency.
Starting Range: $20.34 - $22.42/Hour, Non-Exempt under FLSA

Essential Duties: Coordinates NWEA, PARCC, DLM-AA, ACCESS & CogAT testing, SAEBERs, Fastbridge, CSCI including rostering, mailing and filing report, updating accommodations, ordering testing materials, training
Review missing student data, inconsistencies, and share with administration prior to state reporting to allow time for review and follow up
Organizes, submits, and tracks IDEA & ESSA grants
Coordinates SIS & ISBE reporting for special ed and EL
Orders materials and supplies for subgroups for assessments process, DSS and homeless
Supports Medicaid set-up reporting
Provides Power School support and completes data entry for DSS such as accommodations, goals, disability categories, transportation routes, etc
Maintains budgets, accounting, and student data related to grants and DSS department
Maintains records for IEPs & 504s plans and cumulative files
Serves as the communication liaison between special education database vendor and Student Services Department
Serves as the records' custodian - sends/receives records for transferees and parent and lawyer requests
Assists with coordination of child find activities (e.g., Early Intervention Screenings and completes the Pre-K students enrollments in SIS)
Coordinates special education transportation and related billing and reimbursements for the regular school year and ESY
Assists with advanced placement letters and rosters
Serves as the liaison/point-person for the export and submission of student data to third party consultants (ECRA, Ellevation, Embrace, etc)
Communicates regularly with staff and outside partners (e.g., TrueNorth, private contractors, other schools, etc.)
Completes attendance for Speech Only Students
Process timesheets, mileage reimbursement, and p-card reports
Provide training on progress reports and maintenance of files to school office staff
Participates in ongoing training related to technology, Embrace, Medicaid, Hbug and ISBE reporting, assessment procedures and updates related District procedures
Performs other duties as assigned
Qualifications:
Education, Experience, and Licensure (required and preferred) High School Diploma or GED, required
Bachelor's Degree, preferred
3-5 years secretarial or clerical experience in a school or district-office setting, preferred
Competencies (Knowledge, Skills, and Abilities) Ability to interact and communicate (verbal and in writing) effectively with a variety of audiences
Strong interpersonal, collaboration, and organizational skills
Ability to prioritize workflow, problem-solve, adapt to change, and meet deadlines
Proficiency in Microsoft Office Suite/Google Workspace and school-based personnel and financial information systems
Works with speed, attention to detail, confidentiality and consistency
Comfortable and pleasant demeanor in very active environments
Maintain professional appearance
Physical Demands and Work Environment
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk or hear, and taste or smell. The employee frequently is required to use hands to handle or feel materials. The employee is occasionally required to climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
In the work environment, the employee is regularly exposed to video display and regularly works in office environmental conditions. The employee occasionally works in the evenings or on weekends. The employee is occasionally exposed to outdoor weather conditions and occasionally works with the use of a personal vehicle. The employee will have contact with the public which requires appropriate demeanor and apparel. The noise level in the work environment is usually moderate.
