Job Summary
The Student Affairs Coordinator provides high-level student affairs support, including, but not limited to administrative support to the CVM Associate Dean for Student Affairs, event management, and oversight of the work in collaboration with a diverse audience. The position incumbent is expected to manage and monitor all aspects of assigned duties including, but not limited to, maintaining the office of Student Affairs while serving a diverse audience of guests including prospective students, students, alumni, faculty, staff, parents, donors, community members, and other distinguished guests.
The position reports to and is evaluated by the Assistant Dean for Student Affairs for the College of Veterinary Medicine.
Knowledge, Skills and Abilities
Individuals must possess the knowledge, as well as the following skills and abilities, or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
1. Excellent computer skills are necessary in order to set up document formats in MS Word, Excel, Outlook, and /or similar software tools. 2. Good verbal and written communication skills. Must be able to effectively interact with administration, faculty, staff, and students. 3. Ability to multi-task and work in a fast-paced office.
Required Qualifications
1. Education: Bachelor's degree required. 2. Any combination of education, training, or experience that provides the required knowledge, skills, and abilities to perform this job satisfactorily. 3. Experience: 3 years of administrative experience preferred.

Key Responsibilities
1. Coordinates student-centered activities for the College of Veterinary Medicine as assigned by the Associate Dean for Student Affairs. Events may require the employee to work occasional overtime (must be preapproved by the Associate Dean for Student Affairs) and/or weekends.

2. Acts as recording administrator for CVM Student Affairs Committee meetings. Implements the principles of Robert's Rules of Order, such as meeting preparation, scheduling meetings, and meeting-minute reporting.

3. Maintains the CVM Student Affairs email box. Creates, prepares, and disseminates confidential documents such as meeting minutes, email correspondence, Teams, Microsoft Word, Outlook, Publisher, Adobe Acrobat, SharePoint, Google Docs, Excel spreadsheets, APPs, and PowerPoint presentations.

4. Coordinates and distributes of Radiation Badges while handling routine correspondence/inquiries from students and vendors regarding the radiation badges.

5. Coordinates and manages the Student Scholarship database, while handling routine correspondence and inquiries from students.

6. Update the students' names on mailboxes.

7. Collect, assign, and distribute PBL Room keys quarterly.

8. Provide support by scheduling appointments for the yearly activities, such as rabies titer screening, town hall, etc.

9. Assist in maintaining the Office of Student Affairs Teams page, along with updating the club and student company rep memberships through their teams' pages.

10. Proofreads and edits correspondence and programs, maintains and prioritizes daily calendar, responds to emails, and directs inquiries to appropriate university personnel. Act as an information resource for students and visitors.

11. Provide oversight to all assigned CVM SGA, student company reps, and student activities; maintain liaison with event clientele; ensure facilities are properly prepared; resolve problems before, during, and after activities.

12. Work with the University's public relations department to design, produce, and distribute promotional materials such as invitations, event flyers, holiday card mailing, and/or communications before the program/event.

13. Work collaboratively with CVM and University staff and volunteers. Work with the University Student Affairs and CVM to coordinate/assign staff who may be needed to support University student-related events.

14. Identify, recruit, coordinate, and present written and verbal instruction to key student volunteers and other team members for specific events or activities, and keep them on task at events, as assigned.

15. Assist the college in developing new and innovative special events and activities as well as developing ways and means to create a greater impact through the current events conducted by the college
