Overview The Student Accounts Specialist – Tech Support plays a key role in advancing Whitworth University’s mission by providing both technical and people-centered support related to student billing and accounts. This position manages a portfolio of student accounts and supports billing systems, reporting tools, and self-service platforms. As the team’s reporting and systems liaison, this individual helps ensure timely and accurate financial transactions, enhances workflow through data-informed solutions, and provides excellent customer service to students, families, and campus partners. Responsibilities Student Accounts Support — 50% Maintain and reconcile a portfolio of student accounts, including posting pre-approved changes, adjustments, and corrections. Provide professional, person-centered customer service to students and parents by phone, email, and in-person interactions. Initiate and monitor payment plans and manage collection processes including skip tracing, outreach, and referral to collection agencies. Process electronic monthly billing statements, disbursements, and refunds. Coordinate billing and payments for special populations, including ROTC and Veterans Affairs students. Support graduate students with employer-sponsored billing by issuing invoices and managing communications. Send monthly and semester reminders to students and authorized users about billing deadlines and payment options. Technical and Reporting Support — 30% Maintain and monitor the Student Accounts Self-Service module. Collaborate on billing table updates, tax code configuration, and system adjustments related to A/R and tax reporting. Build, run, and audit reports to track account statuses, payment arrangements, and process efficiencies. Serve as the team liaison for payment plan systems and other financial platforms. Lead efforts to improve system use and streamline internal workflows through automation and reporting. Provide ad-hoc technical support to the Student Financial Services team as needed. Cashier Support — 10% Serve as a back-up to the University Cashier. Assist with daily cash reconciliations, deposits, and campus compliance with the university’s cash handling policies. Other Responsibilities — 10% Support the department during peak periods, including term starts and special events. Participate in training, professional development, and cross-functional process improvement projects. Support loan processing, disbursements, and payment recording for institutional loan programs. Assist with required loan entrance/exit interviews and due diligence procedures. Perform other duties as assigned in support of the university’s mission. Transferable experience related to the position will be considered. Familiarity with financial systems, data reconciliation, and basic accounting principles. Strong skills in Microsoft Excel, databases, and student information systems (e.g., Ellucian/Colleague or similar), with the ability to build and audit reports. Strong accuracy in financial data entry, account audits, and document processing. Proactive approach to identifying issues and finding clear, appropriate resolutions. Strong written and verbal communication skills with the ability to convey complex financial info clearly. Effective contributor to a team-oriented environment, committed to cross-functional cooperation. High standards for ethical handling of sensitive financial and student information. Competence in Microsoft Office (Excel, Word), student information systems, billing software, and electronic payment processing. Additional Ability to sit for extended periods and occasionally lift up to 20 pounds. Frequent use of the computer and keyboarding tasks. Schedule Full-time (1.0 FTE) | 12 months | 40 hours per week. Whitworth office hours are 8 AM to 4:30 PM Monday–Friday. Willingness to work occasional evenings, weekends, and holidays during peak academic periods.
