Position: Secretary for ARCH & Student Services Programs
Work Year: 52 Weeks
Reports To: ARCH Afterschool Program Director
Position Purpose:
Effectively supports the efficient operation of the ARCH Program and Student Services Team (ARCH Afterschool, and additional student support programs) by completing a wide range of secretarial and administrative activities that benefit departmental programs, staff, and families.
Essential Job Functions: Serve as first point of contact for parents, staff, and visitors.
Schedule appointments and maintain calendars for administrators and program staff.
Prepare correspondence, letters, memos, and reports.
Process mail, answer phones, and maintain staff contact lists.
Manage ARCH enrollment, licensing, attendance, and program files.
Oversee office operations for ARCH/Student Services and maintain program webpages.
Maintain confidentiality in all communications and records.
Track staff placement, onboarding, compliance paperwork, and professional development.
Support ARCH Managers, Site Coordinators, McKinney-Vento, and nursing services.
Monitor staff retention, resignations, and status changes.
Coordinate CPR/first aid, MiRegistry, and professional development requirements.
Process bi-weekly payroll, timesheets, leave requests, and backup documentation.
Manage supply orders, requisitions, vendor payments, and purchasing card reconciliation.
Maintain program/building budget records, field trip expenses, vendor agreements, and volunteer forms.
Assist with staff communications, newsletters, and program updates.
Maintain inventories of supplies, equipment, and student materials.
Provide clerical and organizational support for projects, grants, and events.

Additional Duties: Performs other related tasks as assigned by the ARCH Afterschool Project Director and other central office administrators as designated by the Superintendent.
Equipment: Uses standard office equipment such as personal computers, printer, copy and fax machines, and telephone.
Travel Requirements: Travels to school district buildings and professional meetings as required.
Knowledge, Skills, and Abilities: Detail-oriented and professional
Proficient with Microsoft Office Suite and Google Drive.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of employees.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form.
Ability to deal with problems that arise related to the instructional responsibilities of the department.
Ability to pass a typing test at 75 words per minute.
Ability to operate a personal computer and related software used by the district.
Ability to develop effective working relationships with students, staff and the school community.
Ability to communicate clearly and concisely, both orally and in writing.
Ability to perform duties with awareness of all district requirements and Board of Education policies.
Able to maintain confidentiality.
Ability to work in an economically, culturally and racially diverse environment.
Qualifications High School Diploma or equivalent, required.
Post-secondary coursework in secretarial/administrative skills or three to five years of successful secretarial experience, required.
Associate's degree, preferred.
